AI in Business
Shadow AI in plain English.
Also known as: shadow IT (AI),unsanctioned AI use
The one-sentence version
Employees using AI tools at work without their employer's knowledge, review, or approval.
Shadow AI is employee use of AI tools at work that hasn't been reviewed, approved, or even noticed by the employer's IT or security team — pasting client data into a personal ChatGPT account, using an unauthorized AI note-taker in a confidential meeting, or running code through an AI coding assistant that wasn't vetted for the company's compliance requirements. It's the AI-era version of "shadow IT," the older problem of employees using unapproved software and cloud services. Surveys through 2025-2026 consistently find that a large majority of employees use AI tools at work regardless of official company policy, often because sanctioned tools lag behind what's actually useful. The business risk is real — data leakage, IP exposure, compliance violations — but the common employer response of outright banning AI tools tends to just push the same usage further underground; most security teams now recommend fast-tracking approved, monitored alternatives instead.
